How callers book a full series — weekly physio, fortnightly cleans, monthly check-ins — and how to manage or cancel a series from the dashboard.

What the AI can book automatically
When a caller asks for a repeating service, the AI books the whole series in one conversation. Supported cadences today:
- Weekly — same day + time every week
- Fortnightly — every other week
- Monthly — same date each month (or last Friday of the month, etc.)
The AI picks up series intent from phrases like "every Tuesday", "fortnightly", "same time each week for six weeks", or "monthly on the first Monday". It will always confirm the cadence and count out loud before booking.
Example conversation: "same time every Tuesday for six weeks"
- Caller: "I want to book a cleaning every Tuesday for the next six weeks."
- AI: "No problem. What time suits on Tuesdays?"
- Caller: "10am."
- AI: "Let me check... I have 10am every Tuesday open starting next week. So that's six bookings, every Tuesday at 10am from May 21 through June 25 — is that right?"
- Caller: "Yes."
- AI: "Want me to text you a reminder before each one?"
- Caller: "Please."
- AI: "Done. All six are locked in, I've texted you the full schedule."
How series appear in your dashboard
In the Appointments page, each occurrence shows up as its own row — so a six-week series is six rows. Each row has a small series badge linking back to the parent series, so you can see at a glance that these belong together.
The series itself lives in the backend; the dashboard shows it as a group. You can expand any row to see the series length, cadence, and all linked occurrences.
Cancelling just one vs cancelling the remaining series
Hover any appointment in a series and you'll see two cancel options:
- Cancel this occurrence — cancels only the one row. The rest of the series continues unchanged. Use this when the customer will skip a single week but wants to resume next time.
- Cancel remaining series — cancels this occurrence and every future occurrence in the same series. Past occurrences are untouched. Use this when the customer wants to stop coming altogether.
Cancelled occurrences release the slot and fire your standard cancellation SMS (if you have one configured).
Rescheduling an individual occurrence
To move one appointment in a series without affecting the rest:
- Click the occurrence in Appointments
- Choose Reschedule
- Pick a new date/time (subject to availability)
The rescheduled occurrence stays linked to the series — it just happens on a different day. Handy for public holidays ("skip Monday June 10, fit it in on Wednesday June 12 instead").
